Congregational Records Acquisition Policy

As of 01 November 1996, the Region 8 Archives--Gettysburg will accept only PARISH RECORDS from CONGREGATIONS that were part of ELCA Region 8, or any antecedent body thereof, after meeting CERTAIN ELIGIBILITY REQUIREMENTS contained herein AND the approval of the corresponding synod's bishop and/or the corresponding congregation council.


DISBANDED CONGREGATIONS

RECORDS from DISBANDED CONGREGATIONS WILL BE ACCEPTED after meeting the approval of the corresponding synod's bishop.


ACTIVE CONGREGATIONS

RECORDS from ACTIVE CONGREGATIONS WILL BE ACCEPTED IF THEY MEET THE FOLLOWING CONDITIONS:

1) ORIGINAL PARISH RECORDS whose last entries are at least 100 years old from date of deposit in the archives; AND

2) Permission for deposit is obtained from the pastor and congregation's council, and the corresponding synod's bishop.

RECORDS FROM ACTIVE CONGREGATIONS ALREADY IN STORAGE; they will be retained by the Region 8 Archives as long as each congregation's pastor and council desire. Due to concerns over space, however, THOSE ACTIVE CONGREGATIONS WILL BE DISCOURAGED FROM DEPOSITING ADDITIONAL MATERIALS THAT DO NOT MEET CRITERIA #1 above.
